Administrative & Operations Assistant

Elluminate has an exciting opportunity for an individual to support the comprehensive administrative and operations of this small organization focused on social change. Under the direction of the CEO, the Administrative & Operations Assistant is responsible for:

 

Administrative Support:

  • Work closely with and provide support to the CEO on all administrative and management tasks as needed on a daily basis. 
  • Manage regular communication with members, committees, and donors
  • Coordinate organizational mailings and e-blasts.
  • Assist in organizing and staffing Elluminate in-person board meetings and be responsible for preparing meeting minutes.
  • Track meeting attendance, RSVPs and other activities.
  • Order office supplies and assist with smooth running of the office.
  • Other tasks as requested.

 

Office Operations and System Management

  • Oversee the office operations and all information systems.
  • Engage with UJA and IT specialists on office needs, equipment, and technology.
  • Engage with IT specialists to ensure systems and communication platforms  are running smoothly and systems updated.
  • Provide operational, logistical and administrative support for Elluminate events, meetings and programs including the in-person retreat of the leadership advancement program, Elluminate’s annual Convening, Gala, and VIP meetings, and Visionary Circles – our grantmaking committee.
  • Communications and social media opportunities available based on skill level and interest 

 

Development Support:

  • Maintain Little Green Light donor database including adding constituents and donations and running reports as needed
  • Prepare member billing statements and collections.
  • Support to the Controller as needed.

 

Competencies and Qualifications:

  • Strong organizational skills and attention to detail
  • Excellent interpersonal, written, and communication skills 
  • Proficiency in Google, Microsoft Word, PowerPoint, and Zoom
  • Strong database management skills (proficiency with Excel and QuickBooks needed, knowledge of Little Green Light, wordpress and constant contact a plus
  • Experience with conference and program organizing is a plus. 
  • Ability to work some evenings and occasional weekends
  • Relevant work experience required
  • Bachelor’s Degree or equivalent
  • A strong work ethic

Salary/Benefits: Offered salary: $65,000 negotiable with generous benefits package.
